[en] Companies wanting full control over emails coming from the OneTrust application can set up multiple custom SMTP configurations for any email server supporting SMTP using the Email Settings screen. You can then configure specific rules to control which SMTP configuration is used to send emails based on which conditions are met.

[en] To add an SMTP email rule

  1. [en] Click the gear icon gear-icon_global-settings.png in the upper right-hand corner to access Global Settings.

  2. [en] On the Global Settings menu, select Email and Branding > Email Settings. The Email Settings screen appears.

  3. [en] Navigate to the Rules tab.

  4. [en] Click the Add Rule button. A new rule section appears.

  5. [en] Complete the fields. For more information, see Rules Tab Reference.

  6. [en] Click the Save button.

[en] Rule Name

[en] Enter a name for the rule.

[en] Conditions

[en] Select Any or All.

[en] If you select Any, the rule will be triggered if any of the criteria are met.

[en] If you select All, the rule will only be triggered if all of the criteria are met.

[en] Condition Block

[en] Select Organization to apply the SMTP rule to a single, specified organization.

[en] Select Parent Organization to apply the SMTP rule to the specified organization and every child organization within its hierarchy.

[en] Select Message Group to apply the SMTP rule to the specified message group, such as Assessments or Vendor Management.

[en] Operator

[en] Defines the relationship that must be met between the field and value.

[en] If Organization is selected for the field value, Is Equal To or Contains can be selected.

[en] If Parent Organization is selected for the field value, then Contains is automatically selected and cannot be changed.

[en] If Message Group is selected for the field value, Is Equal To or Contains can be selected.

[en] Select which value triggers the rule.

[en] Select the SMTP Configuration that should be used when the rule is triggered.

[en] To edit an SMTP email rule

  1. [en] Click the gear icon gear-icon_global-settings.png in the upper right-hand corner to access Global Settings.

  2. [en] On the Global Settings menu, select Email and Branding > Email Settings. The Email Settings screen appears.

  3. [en] Navigate to the Rules tab.

  4. [en] Modify the configured rules, as needed.

  5. [en] Click the Save button.

[en] To delete an SMTP email rule

  1. [en] Click the gear icon gear-icon_global-settings.png in the upper right-hand corner to access Global Settings.

  2. [en] On the Global Settings menu, select Email and Branding > Email Settings. The Email Settings screen appears.

  3. [en] Navigate to the Rules tab.

  4. [en] Click the Delete icon corresponding to the rule you want to delete.
