Configuring a Targeted Data Discovery Results Summary

You can populate data subject requests and consumer rights requests with data by integrating with other external systems through Targeted Data Discovery (TDD). This is accomplished by adding a TDD subtask to your request workflow that calls an integration workflow to retrieve data from a given system. The populated data will appear in the Results Summary which can be used to fulfill a request.

Note

The following documentation provides an overview of a generic TDD configuration. For more information on integrations with specific systems and business needs, refer to the documentation in the Integrations Knowledge Base.

To create the integration workflow

  1. On the Integrations menu, select Connections. The Connections screen appears.

  2. Click the Add New button. The Create Workflow modal appears.

    Note

    You can also automatically create a new workflow by importing a JSON file. This is helpful if you need to easily reproduce and share the workflow configuration for another account. For more information on importing workflows, see Customizing Integration Workflows.

  3. Complete the fields, then click the Create button.

To configure the integration workflow

  1. Click the newly created workflow in the Connections screen. The Workflow Builder screen appears.

  2. Click Data Subject Request in the block, then select Data Subject Access System Subtask Created.

  3. Click the Add Action button to create a new GET request with the system you are integrating with. Configure the header(s) and body parameters, as necessary. Then, click the Finish button.

    Note

    Your configuration may differ based on your specific system and use case needs.

    Caution

    You will need to set up credentials for the system before you can finish this step in the workflow configuration. For more information about integration credentials, see Configuring Integration Credentials.

  4. Click the Add Action button to create a new OneTrust: PUT Updates an existing system subtask with data discovery results trigger.

  5. Complete the PUT trigger fields and payload information, then click the Finish button.

    Note

    Click the Advanced View button to edit the payload body directly. Click the Simple View button to return.

  6. Click the Add Action button to create a new OneTrust: POST Targeted Data Discovery Summary Results trigger.

  7. Complete the POST trigger fields and payload information, then click the Finish button.

  8. Save and activate the workflow.

To add the system subtask to a request workflow

  1. On the Privacy Rights Automation menu, select Workflows. The Workflows screen appears.

  2. Go to the workflow you want to configure. The Workflow Details screen appears.

  3. Go to the Retrieve workflow stage.

  4. Click the System Subtask button. The Add System Subtask modal appears.

  5. Complete the fields. For more information, see Add System Subtask Modal Reference.

  6. Click the Save button.

Description

Task Name

Enter the name of the subtask.

System

Select the system for which you want to set up a TDD subtask.

System Integration Workflow

Select the integration workflow you configured for TDD results. The integration workflow will only appear if it is activated.

Task Description

Enter a brief description of the subtask.

Run Manually

Select this check box to run the subtask manually.If this check box is not selected, the subtask will run automatically when the request reaches the workflow stage.

Required

Select this check box to make the subtask required in order to move the request to the next workflow stage.

To add the request workflow to a web form

There are two methods for launching a workflow from a web form: a default workflow or a rule-based workflow.

Default Workflow

You can configure a web form to launch an integration workflow by default. This method is standard but only allows for one workflow per use case.

  1. On the Web Forms screen, go the the web form you want to use for TDD. The Web Form Customization screen appears.

  2. Go to the Settings tab.

  3. Select the integration workflow you configured for TDD as the Default Workflow.

  4. Click the Save button.

Rule-Based Workflow

You can configure a web form to launch a request workflow with conditional logic based on data subject responses. This methods allows the web form to be used for multiple data subject types and request types combinations.

  1. On the Web Forms screen, go the the web form you want to use for TDD. The Web Form Customization screen appears.

  2. Go to the Rules tab.

  3. Click the Add Rule button.

  4. Name the rule, then configure the rule to launch your TDD integration workflow based on the conditions you establish.

  5. Click the Save button.

To view the Results Summary

With the integration workflow and system subtasks configured, you can launch the workflows to retrieve data subject data in the event of a request.

  1. On the Privacy Rights Automation menu, select Requests. The Requests screen appears.

  2. Click on a request in the list. The Data Subject Request Details screen appears.

  3. Click the Results Summary button. The Results Summary screen will appear.

To download attachments from the Results Summary

  • In the Results Summary, click on the name of an attachment. The attachment will download locally.
